The Administrative Services Coordinator is responsible for coordinating and overseeing various administrative functions within the Operations Department.
The Administrative Services Coordinator plays a crucial role in ensuring smooth operations and efficient administrative processes.
Partners with the credentialling vendor to ensure all necessary credentials, licenses and certifications are up to date and compliant with regulatory standards.

Responsibilities:
Maintain and organize office operations, including managing Physician's On-Call and Anytime/Telemed coverage.
Provide comprehensive administrative support to practices and centralized functions, including vaccine ordering and communications, medical record requests, vendor management, maintenance of medical asset lists, and operation's policy and procedure manuals.
Support credentialing and quality functions as requested.
Draft, edit, and proofread various documents monthly for company communications.
Maintain email requests, letters, reports, and presentations.
Answer and redirect phone calls, take messages, and handle inquiries or requests efficiently.
Maintain and update operations related databases, records, and files, ensuring accuracy and confidentiality.
Prepare and process documents, forms, and reports, and maintain proper documentation and filing systems.
Work with insurance carriers for timely audits.
Facilitate effective communication and ensure timely responses to inquiries and requests from internal and external stakeholders, including employees, insurance carriers, and patients.
Provide support for ongoing projects by coordinating tasks, monitoring timelines, and maintaining project documentation.
Assist in processing expense reports, reconciling invoices, and maintaining financial records.
Collaborate with the finance department to ensure accurate and timely financial transactions.
Maintain a comprehensive database of all credentialing information and track the status of applications.
Conduct ongoing audits to identify any expired or expiring credentials, licenses, or certifications.
Collaborate with internal stakeholders, such as human resources and compliance departments, to ensure adherence to credentialing requirements.
Provide guidance and support to healthcare professionals throughout the credentialing process, answering questions and addressing concerns.
Liaise with external entities, such as insurance companies and hospital privileges committees, to ensure timely completion of credentialing.
Maintain accurate records and documentation:
Ensure all files are complete, organized, and easily accessible.
Maintain confidentiality of sensitive information and adhere to data protection regulations.
Generate reports and analytics related to credentialing activities for management review.
Perform all other duties and special projects as assigned.
Qualifications:
High school diploma or equivalent; additional certifications or courses in office administration or related field are a plus.
Proven experience as an administrative assistant or in a similar role.
Proficient computer skills, including knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Strong organizational and time management skills, with the ability to prioritize tasks and multitask effectively.
Excellent written and verbal communication skills.
Attention to detail and a high level of accuracy in work.
Ability to handle sensitive and confidential information with integrity.
Strong problem-solving skills and the ability to work independently and collaboratively.
Flexibility and adaptability to changing priorities and demands.

Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Hybrid schedule of working in an office environment and working remotely Allied Physicians Group and Adjuvant.

Compensation & Benefits offered:
Pay Rate:
$75,000.
00 - $80,000.
